The Problem
The old way is costing you time, money, and risk
Most teams discover expired vendor insurance only after an incident — and by then the exposure has already happened. Here's what goes wrong.
Spreadsheets miss renewals
No system sends alerts when a vendor's general liability policy expires. One missed renewal = uncovered incident = lawsuit. It happens to one in six small property management firms.
Hours wasted chasing COIs
Email back-and-forth with 30, 50, or 100+ vendors every renewal season. Manually opening PDFs, typing in policy details, updating spreadsheets. Operations teams lose 8–12 hours per month.
Real financial exposure
One uninsured incident with a contractor can cost $150,000+ in liability claims. General contractors face contract penalties. Property managers face owner lawsuits. The spreadsheet isn't worth the risk.

Loved by the teams who matter
Real results from real property managers, contractors, and facility teams.
“We used to manage 90 subcontractor COIs in a spreadsheet. Within a week of switching we caught 4 expired policies we'd completely missed. The AI extraction alone saves our ops team 2 hours every single week.”
“The vendor portal alone saved us dozens of hours per quarter. Vendors upload their own certificates, the AI reads them, we just review and approve. The old email chain is completely gone.”
“I showed VendorValid to our insurance broker at renewal. She said it was the most organized COI tracking she'd ever seen from a small property management firm. The compliance report printed in 5 seconds.”

Common questions
Everything you need to know before starting your free trial.
What is a COI and why does it matter?
A COI (Certificate of Insurance) is a document that proves your vendor or subcontractor carries active insurance coverage — typically general liability, workers' compensation, and auto liability. If a vendor causes property damage, an injury, or a dispute while working for you, their insurance is supposed to cover the claim. If their policy has expired or you never collected proof, your business may be liable instead.
How does AI COI extraction work?
You upload a PDF, JPG, or PNG of any Certificate of Insurance — including ACORD 25 standard forms and custom formats. Our AI (powered by Claude) reads the document and automatically extracts: insurance provider name, policy number, coverage type (general liability, auto, workers' comp, umbrella), coverage amounts, issue date, and expiration date. Extraction takes ~8 seconds. You can review and override any field.
Does the vendor need to create an account?
No. Each vendor in your account gets a unique private URL. They open it in any browser, upload their certificate, and they're done. No signup, no password, no app download required. The portal works on mobile and supports camera scan.
How many vendors can I track?
Starter plan supports 25 vendors, Growth supports 150, and Pro supports unlimited vendors. You can upgrade at any time from your billing settings — upgrades take effect immediately and are prorated.
Is VendorValid HIPAA or SOC 2 compliant?
All data is encrypted at rest (AES-256) and in transit (TLS 1.3). Row-level security ensures complete data isolation between companies. SOC 2 Type II certification is in progress. For enterprise security requirements, contact us.
